What is Zimbra?

Zimbra is both a company and the software made by the company. Founded on Christmas of 2003 and having raised more than $30M and already reached self-sustainability, Zimbra is a software manufacturer based in San Mateo, California. As of August 2007 supporting more than 8 million paid mailboxes not including their summer 2007 deal for Comcast's MM customers, Zimbra's primary product is the Zimbra Collaboration Suite (ZCS), a server-based groupware product providing enterprise e-mail, calendaring, contact and document sharing. ZCS primary competitors are Microsoft Exchange and Lotus Notes, differentiating itself by delivering an innovative, secure, rich experience through the web first, data portability, open customization/integration, and also providing multi-platform desktop and PDA synchronization. The Zimbra client software runs on Windows, Mac and Linux through your favorite web browser and synchronizes with various desktop clients such as Outlook, Mail.app, iCal, iSync and Thunderbird. The Zimbra server software runs on Red Hat Linux, Mac OS, and Linux variants. Zimlets are Zimbra plug-ins that extend Zimbra's integration capabilities.

What does Zimbra sell?

Zimbra sells annual licenses for the Zimbra Collaboration Suite (ZCS), and support for systems administrators in the support of ZCS. With different features, there are different editions of ZCS, ranging from free (the entirely open source version), to the Network Professional Edition and its options such as Zimbra Mobile, and Zimbra Archiving and Discovery. Zimbra charges a standard rate of $28/mailbox/year for the Network Professional Edition, in minimum increments of 25 users ($875/year minimum). If you allow your paid, commercial Zimbra license to expire, it reverts to the open-source edition. Zimbra sells licenses directly, and through a network of Zimbra value-added-resellers such as 01.com. Zimbra also has relationships with various hosting providers such as 01.com, who deliver Zimbra as Software as a Service (SaaS), a turn-key solution for organizations to rent the use of Zimbra on a per mailbox, per month basis, securely across the internet.

This document briefly explains the differences between 01.com's Zimbra Shared and Dedicated Hosting, and Remote Server Maintenance, or Professional Services.

1. Shared Server Hosting.
Your own, private space and domain hosted on software, servers and systems administration whose costs are shared by a community of users. 01.com delivers shared server hosting as an end-to-end, soup-to-nuts, complete solution for organizations to enjoy the benefits of the Zimbra Collaboration Suite (ZCS) without having to manage the complexity of tech support, systems administration, computer servers, software licensing, updates, upgrades, internet connectivity, or security. Organizations pay a periodic monthly rate, to leverage 01.com's investment in infrastructure and expertise to deliver the Zimbra feature set now to from 1 to thousands of mailboxes.

2. Dedicated Server Hosting.
Similar to Shared Server Hosting *except* instead of having your data on the same servers with other organizations, your data is not only logically seperate, but also physically seperate, and stored on its own computer server hardware, typically at our one of our carrier-class data centers. 01.com then provides licensing, monitoring, maintenance and support on your server, and whatever other services, such as 24x7 tier 1 help desk, firewalling, voip (asterisk, or a commercial version, such as Fonality), encryption gateways (such as PGP server) or data backup, as needed.

3. Remote Server Licensing, Installation, Maintenance and Support
If you're going to run the server yourself at your own office or data center, you can cherry-pick just the services you need from 01.com. Common things organizations purchase from us include:

Are Domain Names Required for a Zimbra account with 01.com?

No. If you do not have your own domain name to use with us, you can use our domain name, zimbra.01.com.

With the identities feature in Zimbra, you can simply forward e-mail to your Zimbra account, and use whatever identity you have created to send "from". So for instance, if you have a mailbox called you@yourcompany.com, and you purchase a mailbox called you@zimbra.01.com from us, you can forward your mail from you@yourcompany.com to you@zimbra.01.com, and still be able to send e-mail from the Zimbra web interface from you@yourcompany.com.

However, if you have other people in your organization, you must share a domain name to take advantage of many of the collaborative features of Zimbra such as the global address list (GAL) and document sharing. In most cases, this requires you to switch your MX record for a domain to us, so that we're accepting all mail for that domain (there is an exception, if you're using an up-to-date version of Postfix).

So, what happens if you don't want to move your domain's MX record, and you still want to use Zimbra? You must either:

  1. Purchase another domain to use for Zimbra (<$10/year at GoDaddy.com)
  2. Use a host name, such as zimbra.yourcompany.com, for your Zimbra mailboxes at 01.com

There are some practical consquences to these decisions, and our recommended course of action, our best practices are to simply move your MX record.

If you choose to use a host name, such as zimbra.yourcompany.com, you may use identities to mask your "from" address so that it appears to be from company.com. It is assumed that your mail server for company.com would be forwarding e-mails to zimbra.yourcompany.com. Also note that using this option means that while recipients will effectively have the "zimbra." part of the zimbra.yourcompany.com addresses "masked", and just see the from addresses as company.com, without further customization your users will see their addresses as the full zimbra.yourcompany.com in the global address list (GAL). Additionally, when they send mail to their email address at yourcompany.com, it will go to your other (old) e-mail provider first, then be forwarded (back) to your mailboxes on the 01.com Zimbra server(s).

How do I sync-up my old mail to your servers?

If you are not yet storing mail on a server, such as using POP accounts, then you probably don't have to worry at all about this question. This question is only for oganizations that have existing mail, and possibly other data, stored on a server, that you'd like to synch to our servers. You have at least four options for syncing your old mail provider with 01.com's Zimbra services:

  1. Allow us to use IMAP Sync to move your messages ($25/mailbox, one-time), or use server-to-server migration tools designed to migrate from Exchange and Lotus Notes, for which professional services charges may apply;
  2. Use the built-in POP feature in Zimbra 4.5.2+ to pop your mail into your accounts yourself;
  3. Setup a new account for your Zimbra mailbox in your mail client, and drag and drop the messages you'd like. You may find it most convenient to move your old messages to local storage, on your computer, first, thus take them all off of your old mail server prior to pointing your new inbox to your your new account on one of our Zimbra servers;
  4. If you're using Outlook, you can use the Zimbra Outlook import tool;
  5. If you're coming from another compatible version of Zimbra, we may be able to import a back-up of your accounts.

Let us know what you'd like to do. Please note that IMAP sync can take a very long time, it's not unusual for 10 mailboxes to take 24-48 hours to sync, and larger numbers can take a week or more. For larger organizations, we can plan and help implement customized migrations, including project management.

Do I have to move my website to host my email with you? Also: Do I have to change my web host?

Let us assure you it's not necessary to move your website. In fact, we're not a web host, and do not even host most of our own websites (we contract that to a webhost provider, like most companies do).

You can keep your web hosting where it is, and move your e-mail by itself. This is a fundamental part of the domain names system, the ability to identify different servers on the network (internet) to take care of different jobs.

In this case, www.yourcompany.com (insert your domain name there) will take visitors to your current webhost.

The MX, or mail exchange record, of your domain name, will direct people to send e-mail to 01.com's Zimbra servers, where the mail will be routed into your mailbox(es).

All of this happens, of course, transparantly to the users.  We will help you make the domain name (DNS) change once you have service established with us.  The process of switching your MX record does not require any down-time, nor will you lose mail during the process, assuming that your old mail provider account remains active during the transition.

What is NotifyLink and who is Notify Corp?

Notify Technology is a company that makes the NotifyLink server software for synchronizing groupware over-the-air to various PDAs. As of August, 2007, while it syncs directly with Windows Mobile and Palm devices over-the-air, Zimbra requires integration with a NotifyLink server to sync Blackberry calendar, contacts and email. 01.com maintains its own servers and runs NotifyLink in-house. What is Zimbra Mobile?

Zimbra Mobile is a license purchased through 01.com or Zimbra that enables a Zimbra server installation to synchronize Windows Mobile and Palm devices, including Calendar, Contacts and Email. What version of Zimbra do you run?

As of August 16, 2007, 01.com is running the latest version of Zimbra in general release, version 4.5.6. In most cases 01.com tests both the release and its associated software such as Outlook and iSync connectors prior to installing the latest releases. This sandboxing typically means 01.com is about 30 days behind the release of the most recent version of Zimbra.

What is Zimbra Archiving and Discovery (ZAD)?

An optional service available in the 01.com shared hosting environment on a per mailbox basis, and as an optional license to compaines with dedicated, or their own servers, particularly useful for compliance (SOX, HIPAA...) and other organizational policy fulfillment, Zimbra Archiving and Discovery (ZAD) stores mail for each mailbox on which it is enabled in an archived format that is undeletable by users without Zimbra administrative privileges. The archived mailboxes are then searchable, across all of the mailboxes and their data, including attachments and headers, and the results are available in an Ajax web interface that enables viewing by conversation across an entire organization. Does "shared" hosting mean other people can see my email, calendars, contact, or other data?

No! This answer also addresses the question of "what's the difference between Shared and Dedicated hosting?"

"Shared" just means you are sharing the same resources, such as:

  • Bandwidth
  • Software
  • Power
  • Systems Administration
  • Regular updates and upgrades

Your data is private, and cannot be viewed by another customer.

What is a Zimbra mailbox / account Quota?

A quota is a limit. It defines the maximum amount of space in megabytes (MB) for any given Zimbra mailbox. All Zimbra mailboxes have quotas.

Each mailbox on a Zimbra server is a logically discrete container for someone's email, as well as their documents, calendars, contacts and other information, often collectively refered to as "user data." As you add user data, through your daily receipt of emails, adding calendar items, attaching documents... the logical space taken up by your mailbox (aka Account) grows, as measured by gigabytes (GB). Every mailbox is assigned a maximum number of GB (1024MB) by a Domain Admin. The maximum amount of space assignable by a Domain Admin in the 01.com hosting environment, without help from 01.com, is 11GB for any one mailbox. When a mailbox reaches its quota, it stops receiving mail, and senders will receive a mailbox full, bounced message. In the 01.com hosting environment, customers may raise their quotas themselves by using their Domain Admin. What is a Domain and what is a Domain Admin?

A domain is an internet domain, such as 01.com, or zimbra.com, or yourcompany.com. Most individuals and organizations that use our services have their own domain, or if not, then use a modified version of their domain, such as 01.yourcompany.com, with our hosting services, and forward mail to it. Optionally, if you're just testing the service or need only a single account, we offer the use of zimbra.01.com.

A domain admin, or domain administrator, is a person with a mailbox and extra privileges on a Zimbra server. The domain admin has a special domain admin website, and when using her/his normal email address and password, can login to the domain admin website securely and perform tasks such as changing, adding or deleting new mailboxes, distribution lists, aliases, changing quotas, and downloading the latest versions of the Zimbra client software.

At 01.com, the domain admin is often also the primary account holder, and may additionally have domain admin privileges for anti-spam and virus settings, and have access to the Account Manager, which has each customer's account history, billing information, and company contacts.

Why do you charge hosting setup/activation fees?

Our setup fees pay for our computer hardware upgrades to support additional systems resources. Our setup fees ensure that even though customers receive 30 days free-of-charge and without obligation to try our service, and we do not require more than month-to-month terms, we will generate enough revenue as people sign up to pay for the computer hardware that's needed to support a continuing high quality of service.
